Moving from Sage 50 to Xero: Should You Switch, and How?

The short answer: you do not have to move. Sage 50 still works well for many established businesses, and Xero suits businesses wanting cloud access, bank feeds and app integrations. The right choice depends on how you work.

Reasons to Stay on Sage 50

  • Years of history: your existing records and reports are already available in a familiar system.
  • Stock and job costing: established processes may depend on the features you already use.
  • Multi company setups: your current arrangements may work well for several businesses.
  • A trained team: staff who know Sage 50 can keep working without learning a new system.

There is no need to change simply because another accountant prefers a different platform. Review what works, what causes difficulties and whether a move would genuinely improve your day to day work.

Reasons to Move to Xero

  • Access anywhere: work on your accounts wherever you have an internet connection.
  • Live bank feeds: bring transactions into your accounts for regular reconciliation.
  • Receipt capture apps: connect tools that help organise invoices and receipts.
  • Easier collaboration: you and your accountant can work with the same up to date information.

Check the features, subscription and app costs against your actual needs before committing. A change should make your work easier, not simply replace one set of tasks with another.

Making Tax Digital

Both Sage 50 and Xero can be used for Making Tax Digital for VAT. For Making Tax Digital for Income Tax, check that the software you plan to use is on HMRC's list of compatible software. Do not assume that support for MTD for VAT means a product also supports MTD for Income Tax.

How a Migration Works

  • Choose a conversion date: usually a year end or VAT quarter end, so the cutover has a clear boundary.
  • Agree opening balances: use the Sage 50 trial balance and reconcile the balances before importing them.
  • Bring across outstanding invoices and bills: check that customers and suppliers owe the correct amounts.
  • Decide how much history to move: agree what should be converted and what can remain in the archived records.
  • Set up VAT and bank feeds: confirm the VAT settings, reporting periods and bank connections.
  • Check both systems for a short period: compare reports and reconciliations while the new setup is checked, without duplicating submissions.
  • Archive your Sage 50 data: keep the records accessible for at least six years.

A migration is more than importing a file. Checking the opening balances, VAT position, unpaid invoices and bank reconciliations helps make sure the new system starts on solid foundations.
